These terms form the agreement between you and FarmAcc when you use our farm accounting software. Please read them — they're written in plain language.
These Terms of Service ("Terms") are a legally binding agreement between you ("User", "you") and FarmAcc (Pty) Ltd ("FarmAcc", "we", "us"), the operator of the FarmAcc farm accounting software accessible at app.farmacc.co.za.
By creating an account, accessing or using FarmAcc, you confirm that:

FarmAcc is a cloud-based agricultural accounting software platform designed for South African farmers. The service includes:
You must register with a valid email address and choose a secure password. You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account.
You agree to provide accurate, complete and current information when registering and to keep it updated. Providing false information — including a false VAT registration number — may result in immediate account suspension.
Notify us immediately at support@farmacc.co.za if you suspect any unauthorised access to your account. FarmAcc will not be liable for any loss or damage arising from your failure to maintain account security.
Each registered legal entity (farm, sole proprietor, CC or company) should operate under a single FarmAcc account. Multiple farms can be managed from one account on the Pro plan.
FarmAcc operates on a subscription basis. The current plans are:
All prices are in South African Rand (ZAR) and are inclusive of VAT where applicable. FarmAcc reserves the right to adjust pricing with 30 days' written notice to existing subscribers.
The 14-day free trial gives you full access to FarmAcc with no obligation. No credit card is required to start. At the end of the trial, your account will revert to read-only mode unless you subscribe.
All financial data, records, reports, slip images and other content you create or upload in FarmAcc ("Your Data") remain your property. FarmAcc does not claim any ownership over Your Data.
By using FarmAcc, you grant us a limited, non-exclusive, royalty-free licence to store, process and transmit Your Data solely for the purpose of providing and improving the FarmAcc service to you. We will never use your individual farm data for advertising or sell it to third parties.
You can export your data at any time using the CSV and PDF export features within FarmAcc. If you close your account, you are encouraged to export your data first. We will provide your data in a machine-readable format upon request.
All software, design, code, logos, trademarks and content that make up the FarmAcc platform (excluding Your Data) are owned by FarmAcc (Pty) Ltd or our licensors. Nothing in these Terms grants you any right to copy, modify, distribute or create derivative works of FarmAcc's software or branding.
You agree to use FarmAcc only for lawful purposes and in a manner consistent with these Terms. You must not:
We reserve the right to suspend or terminate accounts found in breach of these acceptable use rules, without notice where the breach is severe.
Our AI slip scanning feature uses machine learning to extract data from receipt images. While we strive for accuracy, AI-extracted data may contain errors, particularly with:
You are responsible for reviewing AI-extracted data before saving it and for correcting any errors. FarmAcc accepts no liability for losses resulting from reliance on unverified AI-extracted data.
FarmAcc's VAT 201 report is generated from the transactions you have entered into the system. It is your responsibility to ensure all transactions are correctly categorised and that the report accurately reflects your business's VAT position before submission to SARS. FarmAcc does not submit VAT returns on your behalf.
We target 99.5% monthly uptime for the FarmAcc application. Scheduled maintenance will be announced where possible. We monitor service availability through UptimeRobot and Sentry. During periods of downtime your subscription period will not be extended, except in cases of extended outages (more than 24 consecutive hours) attributable to FarmAcc's infrastructure.
FarmAcc may add, modify or remove features at any time. We will provide reasonable notice of significant changes that may affect your workflow. If a change materially reduces the core functionality you subscribed to, you may cancel for a pro-rata refund within 30 days of the change.
FarmAcc integrates with third-party services including Supabase, Anthropic and Cloudflare. We are not responsible for downtime or data issues caused by these third-party providers, though we will work to resolve any impact on the FarmAcc service as quickly as possible.
To the maximum extent permitted by South African law, FarmAcc's total liability to you for any claim arising out of or related to these Terms or the FarmAcc service shall not exceed the total subscription fees paid by you in the 12 months preceding the claim.
FarmAcc will not be liable for:
You agree to indemnify and hold harmless FarmAcc (Pty) Ltd, its directors, employees and agents from any claims, damages, losses, liabilities and expenses (including reasonable legal fees) arising from:
You may close your account at any time from the account settings within the FarmAcc app. Upon closure, you will retain access until the end of your paid billing period.
FarmAcc may suspend or terminate your account immediately if:
We will provide reasonable notice before terminating accounts for non-payment, except in cases of fraud or severe misconduct.
Upon account closure, your data will be retained for the period described in our Privacy Policy (generally 5 years for financial records to comply with SARS requirements), after which it will be securely deleted. You may request immediate deletion, subject to legal retention obligations.
Your use of FarmAcc is also governed by our Privacy Policy, which forms part of these Terms and explains how we collect, use and protect your personal information in accordance with POPIA.
These Terms are governed by and construed in accordance with the laws of the Republic of South Africa, without regard to conflict of law provisions.
In the event of a dispute arising from or relating to these Terms, the parties agree to first attempt to resolve the dispute through good-faith negotiation. If the dispute cannot be resolved within 30 days, either party may refer the matter to mediation before a mutually agreed mediator, or to the applicable South African court of competent jurisdiction.
You consent to the jurisdiction of the South African courts for any dispute arising from these Terms.
These Terms, together with the Privacy Policy and any additional terms presented within the app, constitute the entire agreement between you and FarmAcc regarding the service and supersede all prior agreements.
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
FarmAcc's failure to enforce any right or provision of these Terms will not be deemed a waiver of that right or provision.
You may not assign or transfer your rights or obligations under these Terms without FarmAcc's prior written consent. FarmAcc may assign these Terms to a successor entity in the event of a merger, acquisition or sale of assets.
FarmAcc may update these Terms from time to time. We will notify you of material changes by email and by displaying a notice within the app at least 14 days before the changes take effect. Continued use of FarmAcc after that date constitutes your acceptance of the revised Terms.
